Refund and cancellation policy

What happens to money already paid when work stops early, when a pilot returns a negative result, or when a subscription is cancelled.

1. What this policy covers

Everything Algolyzer Lab sells is quoted and invoiced against a written scope: a statement of work for an engagement, or a plan for a hosted subscription. This policy explains what happens to money already paid when that arrangement ends early. It is part of our terms of service; where a statement of work says something different, the statement of work governs.

2. Deposits

We may ask for a deposit before an engagement starts. It reserves the team’s time for the agreed window and covers the set-up we do before day one — environment access, data review, hardware ordering where the scope includes it. The deposit is credited against the first invoice.

If we cancel, or if we cannot start for a reason on our side, the deposit is refunded in full. If you cancel before work starts, the deposit is refunded less any third-party cost we have already committed on your behalf, which we will itemise for you.

3. Cancelling before work starts

Tell us in writing before the start date and nothing is charged except committed costs as described above. Anything else you have paid is returned.

4. Cancelling during a pilot

A pilot is a fixed fee for a fixed question. If you stop it part way, you pay for the work delivered up to the date you tell us to stop, and the balance of the fixed fee is refunded. We settle it on the basis of a short written summary of what was actually done — data prepared, experiments run, systems stood up — not on a guess. Whatever exists at that point is handed over with it.

5. Cancelling during a build

Build engagements are invoiced against milestones. Milestones completed and accepted before cancellation are payable in full. The milestone in progress is charged pro rata to the work delivered within it, and anything invoiced beyond that is refunded. Once the settlement is paid, you receive the deliverables you own to that date under section 6.2 of the terms — the model weights, training code and deployment scripts as they stand.

6. A pilot that does not meet its success metric

We agree the success metric before a pilot begins, and we commit to a written result either way: you get a working system and an honest answer, including where the answer is that the approach does not work. A negative result is a completed pilot, not a failed one, and it is not on its own a reason for a refund. Knowing that something does not work, before you build a business on it, is the outcome you paid for.

A delivery failure is different. If we did not run the work we agreed to run, or did not deliver the written result, tell us: we will finish it, or refund the portion of the fee covering what was not delivered.

7. Hosted subscriptions

Subscriptions are billed in advance for the period stated in your plan. You can cancel at any time and the cancellation takes effect at the end of the period you have already paid for; access continues until then, so there is no need to cancel early to avoid a charge.

We do not refund a partial period simply because a service went unused. We do refund or credit it, pro rata, where the service was materially unavailable or did not work as described and we could not put it right within a reasonable time after you told us.

8. How to ask for a refund

Email hello@algolyzerlab.com with the invoice number and date, the amount paid and how it was paid, the statement of work or subscription concerned, and what you are asking for and why. We acknowledge a request promptly and decide it without undue delay once we have everything we need to assess it. If we need more information, we ask once and clearly.

9. How a refund is paid

Approved refunds go back to the original payer, by the original payment method, in the currency invoiced. Where the original method is no longer available we agree an alternative with you in writing. Bank charges and exchange-rate movements between payment and refund can mean the amount received differs slightly from the amount paid; that difference is outside our control. We do not send a refund to an account other than the one the payment came from.

10. Disputes and chargebacks

If something has gone wrong, tell us before you go to your bank or card provider — most disputes are a misunderstanding about scope and are fixed in a conversation. Where a chargeback is raised, we will provide the payment provider with the accepted scope, the invoices and our record of what was delivered, and we may suspend a hosted service while the payment is disputed. A chargeback does not remove an obligation that is genuinely owed, and a resolved dispute does not stop us discussing the underlying work with you.

11. Your statutory rights

This policy is written for business clients. Where you deal with us as a consumer, the cancellation and refund rights your local law gives you apply in full and nothing here limits them.
